Gmail Migration Update

Submitted by Nicholas

We will be switching from our current email and calendar system to Gmail and Google Calendar on Monday, December 5th. A reminder that guides for common tasks in Gmail and Google Calendar are available on the All Staff Training drive on Google Drive.

We have also created guides covering common tasks in Google Groups. With the cutover, shared mailboxes (like Ask a Librarian, ILL Mail, etc.) will become Google Groups. Starting December 5th, you will need to use Google Groups to access the shared mailboxes that you use.

Starting today (11/21/22) you may access Gmail to begin setting up your signatures and email sorting rules (called filters in Gmail). Instructions for accessing these feature can be found in the Migration Plan documentPlease do not attempt to send or receive messages using Gmail until December 5th. Please use the time before December 5thonly for setting up any signatures that you need and for recreating any sorting rules that you would like to have available ahead of time. Please refer to this Email Signature Formatting Guide for the correct format to use for your email signature beginning December 5th

Beginning next week (11/28/22) you may notice data, like old emails and calendar events from Outlook, starting to appearing in Gmail or Google calendar. Please ignore this and continue to use Outlook for email until December 5th. You may continue to create new events in Google Calendar but please do not recreate any events that were originally scheduled on your calendar in Outlook in Google Calendar or these events will be duplicated when your data is migrated. Please do not attempt to send or receive messages using Gmail until December 5th.

Please submit a ticket or contact IT with any questions.
