Now that you have been using google it is time to make sure you are using it well!
Be familiar with Google Workspace instructions and help on the IT drive. If you have questions put in a ticket for IT to help you.
Always name your document - even if it is just for your drive. The title should represent what the document conveys.
Date all documents that are used branch or system wide with YYYY.MM.DD. Programs or program agreements should list a name of program then date or name of presenter then date.
When a document or folder is used system wide- do not place a copy in a different area (drive) folder. Place a link to the original document so changes are updated automatically by the originator of the document.
Delete the old when updating with new information. Ask a manager to delete files or folders when necessary or create a Ticket for IT to remove them for you.
Photos go in photos!! Create or upload into the correct folders. With a tagline and date. Remember the Best of folders for photos that really say FCPL.
Use folders to hold similar documents or to archive and keep your drive easier to read.
2024 is a great year to go through your drives and clean up, update and delete.
Still pretending Google drives are Sharepoint and trying to memorize where everything is.......
Let Google do the work for you!
How to search in Google drive for best results:
Some quick tips and pics from staff.
Using words or phrases in the title or body of the document will help locate items in the drives.
Searching for a document type.
Search by location: your drive, shared drives, shared with me.
