If you are interested in using any Google features for work-related tasks, we strongly suggest you create a new Google account using your work email. If you have been using a personal account to store or work on work-related items, we strongly suggest creating a new account and transferring your documents.
How to Create a Google Account Using Your Work Email
1) Go to Google.com. Click on “Sign In” (or your photo if you are signed in with a personal account) in the top-right corner.
2) Click “Create Account” in the bottom-left of the box and select “For Myself”. If you already have an account logged in, you will need to click “Use another account” first and then click “Create Account”.
3) Fill out the First and Last Name boxes. Before you enter the email, click “Use my current email address instead”. Enter your FCPL email address and complete the rest of the form.
If you are using a shared computer, please remember to log out when you are finished working for the day to ensure the privacy and integrity of work-related material.
Sharing Documents with Google
It is easy to share documents with your coworkers using Google Drive. You can either share with people and groups via email or you can copy a link share how you like.
There are two ways to share a document. You can share from the main screen of Google Drive, where it shows all of your documents, or you can share from an open document.
1) Select the document you would like to share. In the top-right, click the Share icon (person with a plus sign, see picture below).
From here, you can choose to enter the email address(s) of the person(s) you’d like to send the document to. You can choose Editor, Commenter, or Viewer, depending on how much control you want the recipient to have.
You can also get the link to the document you want and share how you’d like. Be sure to keep it as “Restricted”. This allows for only people with the link to access the document. Click Copy link. You can use Ctrl + V to paste wherever you’d like.
2) You can also share from an open document. In the top-right, click the blue Share button. The same box and options will pop-up as above.
**Always be sure to double-check the email address(s) you input to ensure you are sharing the document with the correct person(s).
