As we make heavy use of our email during this time of remote work, it is important to remember to clean up your email to conserve space.
Here are a few tips
1) Deleting multiple items at once
In Outlook and Outlook Web App, you can hold down the Ctrl key (Command key for Mac users), click on the messages you would like to delete OR you if you’d like to select a consecutive range of emails you can select one email, press and hold the Shift key, and then select the last email in the range. Next, press the Delete key to delete these messages. On the mobile web app, there is usually a check box next to each message in the main view, so you can check multiple messages and then delete them. In the Outlook Mobile App, you can tap and hold to bring up the multiple selection interface and then tap messages to select them. Once you've selected all of the items you wish to delete, tap the trash can icon.
2) Attachments count
If someone sends you a large attachment like a picture or audio file, download it and put it somewhere that you will be able to get to it, like your Z drive or Sharepoint, and then delete the email once you no longer need it.
3) Sent items count
You have a sent items folder that keeps a copy of every message you send. These copies count against your quota. Remember to go through and delete sent items that you no longer need.
4) Empty the deleted items folder
When you delete an item, it is sent to the deleted items folder. Items in the deleted items folder still count against your quota. You can go into your deleted items folder and delete items that you are sure you no longer need in order to permanently delete them and free up quota space. You can also empty your entire deleted items folder if you are sure you no longer need anything that is in there. To do this in Outlook and Outlook Web App, right click on the deleted items folder and then choose Empty Folder.
